POSITION SUMMARY

The Receptionist is responsible for scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Ultimately, the receptionist is responsible for ensuring smooth operations within the office and helping to improve company procedures

 

ESSENTIAL JOB FUNCTIONS

 

  • Answer the phone to take messages or redirect calls to appropriate colleagues
  • Handle customer calls; keep track of complaints, redirect sales inquiries to Sales
  • Provide general support to visitors
  • Providing information to clients or all those people who will call in the office or visit the office premise
  • Assist in the onboarding process for new hires
  • Partner with HR to update and maintain office policies as necessary
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Assist in making travel arrangements and booking venues for conferences and events
  • Maintain files and records so they remain updated and easily accessible
  • Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
  • Update internal databases
  • Organize office operations and procedures
  • Monitor stocks of office supplies (paper clips, stationery etc.) and report when there are shortages
  • Schedule meetings and appointments
  • Perform other office duties as assigned

MINIMUM REQUIREMENTS

EDUCATION

  • HND in Secretarianship  

EXPERIENCE

  • 1-2 years working experience

 

SKILLS AND KNOWLEDGE

  • Experience as a secretary, office management, customer service or receptionist preferred
  • Administrative skills , Time management skills, Ability to speak a second language is an asset (French)
  • Excellent Communication, attention to detail, Confidentiality, good organizational skills desired, MS Office Suite
